The Contract for a short-term rental shall be made between the Client and Ivinghoe Lettings. The contract will be entered into when Ivinghoe Lettings issues the confirmation form and will be subject to all the following booking conditions. If for any reason Ivinghoe Lettings is unable to confirm the booking as required it will refund the deposit in full.
Bookings will be confirmed only on receipt of booking form, payment and written confirmation of receipt from Ivinghoe Lettings.
Alterations to booking dates – once the booking is confirmed, and payment has been made, then no amendments to the confirmed dates can be accepted. If you require an alteration to the dates previously booked, this will be treated as cancellation and please see below re cancellation.
Any other changes requested to the booking, will incur a £25.00 administration fee.
A booking fee of £25.00 (£20.83 plus VAT) per property is required for all bookings. This fee is payable on booking.
Individual owners may require a damage deposit, and this is outlined on the property description on our website. The deposit is payable directly to the owner (if applicable), and will be requested by the owner once the rental is paid in full. The Client is responsible for ensuring the property is left in a reasonable condition of cleanliness and in the same condition of repair as upon arrival. Any excessive cleaning, loss or damage to the property, or debts or charges incurred will be itemised and charged to the Client by the owner. Clients are required to act in a responsible manner at all times, and to act with respect towards other guests, neighbours, the owner and their staff. Ivinghoe Lettings reserves the absolute right to require any individual to vacate a property for disruptive behaviour, in which case there would be no refund of any rental payment.
A deposit of £100 will be taken on all bookings (NB, Bookings over four weeks require a week's rental as deposit, as do any bookings for which the tenant requests an option to extend). This deposit will be refunded in full, normally within a fortnight of departure, unless there is damage to the property, or the property is not left in the same condition as found. Deposits are normally repaid to the bookers debit/credit card or Worldpay. BACS payments can normally only be paid to a UK bank account.
Linen and towels are included in all properties, unless previously agreed. For bookings of two weeks or more a linen and towel change may be included. Please check with the Office.
Highchairs, Cots and Beds: Rental of highchairs, cots and additional beds is subject to availability. Please contact the Office to discuss your requirements, as not all properties can accommodate extra beds etc.
Payments should be made to Ivinghoe Lettings at the address shown on the booking form. Payments may be made by credit or debit card, or by Sterling Bank Draft direct to our account. There is a 2% payment surcharge for credit card bookings. We do accept American Express but this is has a payment surcharge of 3.5%. There is no surcharge for payment by UK debit card. Bank charges incurred by overseas payments will be billed to the client. Any charges raised against Ivinghoe Lettings by their bank for dishonoured payments will be passed on to the booking party and payment for these charges must be made within 5 working days. Interest is not payable on any amount held on behalf of the tenant.
Any cancellation made by the Client for whatever reason shall be in writing and addressed to Ivinghoe Lettings. The effective date of cancellation will be the date that the written instructions are received by us. The following cancellation charges shall apply:
- More than 8 weeks before the commencement of the booking: loss of 1/3 of the booking cost (paid as a booking deposit) plus the booking fee.
- Less than 8 weeks before the commencement of the booking: the full cost of the booking and the booking fee.
Ivinghoe Lettings strongly recommends that all clients take out cancellation insurance.
Ivinghoe Lettings reserves the right to refuse any booking without stating a reason or to cancel, modify or alter arrangements made by the Client. In the unlikely event that the accommodation ceases to be available for the period of the booking, then Ivinghoe Lettings shall try to arrange alternative accommodation and if this is not acceptable to the Client, all monies paid shall be refunded to the Client in full, and the liability of the property owner and Ivinghoe Lettings shall then cease.
VAT where applicable is included in the prices shown at the current rate at the time of going to print. Ivinghoe Lettings reserves the right to adjust this should legislation require. Ivinghoe Lettings acts as an agent in collecting rental on behalf of the landlord. If you require a VAT invoice for rental please contact us. VAT on rental is charged by the landlord, where applicable.
Rentals commence, unless otherwise specified, at 3pm on the day of arrival and terminate at 10am on the day of departure. Arrivals are normally between 3pm and 6.30pm. Departures should be by 10am. If you wish to arrive or depart outside these hours this can, in most cases, be accommodated, but it is essential to contact the Office as it may incur a small additional charge.
The number of persons occupying the property must not exceed the maximum numbers stipulated on our website. Prices for each property are based on a certain number of guests. Parties wishing to accommodate more guests than the recommended number of occupants must pay an additional surcharge. This feature is only available on certain properties and must be booked in advance. Please ask Ivinghoe Lettings to include this feature when booking your stay. There will be an additional charge for each extra guest. Sub-letting, sharing or assignment is not permitted.
Only those listed on the booking form may occupy the premises. The person who completes the booking form certifies that:
- The signatory is authorised to agree to the booking conditions on behalf of all persons on the booking form including any changes.
- The signatory must be over 21 years of age and there must be at least one adult occupying the property.
- The signatory has agreed to take responsibility for the occupying party, or if not personally occupying the property, the first listed adult member of the party is deemed responsible as lead member.
All complaints should be notified to our office immediately. We will not entertain a complaint once a property has been vacated. Ivinghoe Lettings and the property owners reserve the right to investigate and resolve any problems during tenancy without refund or compensation.
The Client shall take all reasonable and proper care of the property and its contents. They should be left in the same state of repair or condition at the end of the rental period as at the beginning. A charge may be made if additional cleaning is required. We understand that accidents may happen – please notify us as soon as you can – this may reduce any charges incurred.
Breakage or Damage - The Client is legally bound to reimburse the Owner for replacement or for repairs on demand.
Properties are fully furnished and equipped and under no circumstances should guests move their own furniture, mattresses or equipment in during their stay. The properties are equipped according to an inventory list and do not have space for storing or bringing in furniture and equipment and this can result in damage to walls.
The owner has the right to have exclusions on the Property which must be respected when booking the property. Pets when allowed in properties must be kept under control and in no circumstances left alone in the property nor allowed onto furniture or beds. Please remove any evidence of your pet from the property. Hirers take full responsibility for pets and agree to pay a surcharge £25 per week charge per pet. This is a charge for the pet and does not cover any additional damage or cleaning by having your pet in the property.
Ivinghoe Lettings shall not be under any liability to the Clients or third parties for any loss or damage arising from any breach of contract, negligence, misrepresentation or otherwise.
The Owner/Ivinghoe Lettings does not warrant and is not responsible for the accuracy of any verbal information given or statements made by its agents.
The Owner and Ivinghoe Lettings shall be allowed the right of entry to the property at all reasonable time for purposes of inspection.
Ivinghoe Lettings cannot accept liability for happenings outside its reasonable control such as breakdown of domestic appliances, plumbing, wiring, temporary infestation of pests, damage resulting from exceptional weather conditions, or owner’s negligence resulting in loss, injury or accident.
The agency does not own or operate the accommodation and accordingly its use is subject to the terms and conditions of each of the Property Owners. All properties in our portfolio are used as accommodation and therefore exempt from security of tenure under the Rent Act.
